Refund Policy
Applies to all IOS Shootout registration payments.
Eligibility And Windows
- Full refunds are available within 24 hours of payment when requested before roster lock.
- Partial refunds may be granted through 7 days before event day, less processing costs.
- No-show and day-of cancellations are non-refundable unless required by law.
How Refunds Are Processed
- Refunds are issued to the original Square payment method only.
- Coach/admin review is required before refund authorization.
- Approved refunds are submitted through Square and tracked by refund ID in ERP.
- Processor settlement timing may delay bank posting by several business days.
Event Changes
- If the event is canceled by organizer decision, paid entrants receive full refunds.
- If event format is adjusted for safety/weather, organizer may offer transfer or credit options.

Protection of registration and payment-linked identity data.
Encryption At Rest
- Personal registration fields are stored in encrypted form in ERP data stores.
- Encryption keys are managed separately from application source and rotated per security operations policy.
- Access to decrypted fields is restricted to authorized coach/admin workflows.
Encryption In Transit
- Traffic to and from ERP endpoints is protected by HTTPS/TLS.
- Payment processing is handled by Square secure checkout infrastructure.
- Card data is never stored directly by this registration module.
Audit And Access Controls
- Coach-only views are enforced for payment records and refund actions.
- Administrative actions are auditable through payment and registration identifiers.
- Least-privilege access applies to operational staff and service accounts.

Right To Delete Policy
How entrants can request data deletion where legally permitted.
Request Rights
- Entrants may request deletion of personal registration data after event obligations are complete.
- Identity verification is required before processing deletion requests.
- Requests can be submitted through official club communication channels listed on the registration page.
Retention Exceptions
- Financial and transaction records may be retained where required by tax, fraud, or accounting laws.
- Security logs and audit metadata may be retained for abuse prevention and compliance defense.
- De-identified statistics may be retained for operational reporting.
Processing Timeline
- Verified requests are reviewed and actioned within a reasonable processing window.
- If full deletion is not legally allowed, data will be minimized and access-restricted.

Safety Commands And Line Conduct
- All archers must obey line commands from judges and range officers immediately.
- No drawing, loading, or shooting when the range is cold or unsafe.
- Intentional unsafe handling may result in immediate removal without refund.
Equipment And Scoring
- Equipment must comply with announced division rules before first scoring end.
- Arrow count, scoring method, and tie-break procedures follow event briefing instructions.
- Disputes must be raised promptly through the designated judge process.
Sportsmanship And Eligibility
- Respectful conduct is mandatory toward staff, judges, and fellow competitors.
- False identity, false division entry, or payment abuse may void registration.
- Organizer reserves the right to refuse or revoke entry for safety or integrity reasons.

Arrowlytix V1.0.2 (as featured on the Oasis Archery platform) is a unified archery program management system designed to support modern archery training and range operations. It combines training intelligence, performance tracking, and operational tools into one interface, allowing archers and coaches to log shooting sessions, monitor trends and athlete progress, and manage range-side functions like live check-ins, point-of-sale, inventory, and equipment tracking. The system also includes role-based access controls and reporting features tailored for organized archery programs, making it easier to oversee both performance data and day-to-day range activities.

Archery Club Waiver And Release Of Liability
Read before signing and completing payment.
In consideration of being allowed to participate in any way in Oasis Archery Club events and activities, the undersigned acknowledges, appreciates, and agrees that:
- The risk of injury from the activities involved in this program is significant, including the potential for permanent paralysis and death, and while particular skills, equipment, and personal discipline may reduce this risk, the risk of serious injury does exist.
- I knowingly and freely assume all such risks, both known and unknown, even if arising from the negligence of the releasees or others, and assume full responsibility for my participation.
- I willingly agree to comply with the stated and customary terms and conditions for participation. If I observe any unusual significant hazard during my presence or participation, I will remove myself from participation and bring such to the attention of the nearest official immediately.
- I, for myself and on behalf of my heirs, assigns, personal representatives and next of kin, hereby release, indemnify, and hold harmless Oasis Archery Club, their officers, officials, agents and/or employees, other participants, sponsoring agencies, sponsors, advertisers, and if applicable owners and lessors of premises used to conduct the event ("Releasees"), with respect to all injury, disability, death, or loss or damage to person or property, whether arising from the negligence of the Releasees or otherwise, to the fullest extent permitted by law.
I have read this release of liability and assumption of risk agreement, fully understand its terms, understand that I have given up substantial rights by signing it, and sign it freely and voluntarily without any inducement.
